Privacy and personal data protection

In this privacy statement, we will answer key questions concerning the processing of personal data by AMNorman. We would like to provide you with clear information on this subject and with full transparency. Our contact details can be found at the bottom of this page.

Privacy legislation (GDPR)

The General Data Protection Regulation (GDPR) has been in force since 25 May 2018. This new regulation, known in French as the “Règlement général sur la protection des données” (RGPD), applies throughout the European Union and mainly concerns the retention and protection of personal data.

What is personal data?

Certain types of data reveal something about you, such as your name, address or age. If this data (or combination of data) can be linked to you, it is known as personal data. Examples include your postal or e-mail address, as well as your first name combined with your date of birth. If third parties gain possession of this personal data, they must handle it with care. A photo or video can also be considered as personal data.

Whose personal data does AMNorman process?

AMNorman only processes personal data from persons with whom we have, wish to have or have had a direct or indirect relationship. This includes, for example, data concerning:

  • Persons who have shown an interest in AMNorman by completing a contact form on our website.
  • Persons linked to a company or organisation with which we have, wish to have or have had a relationship.

For what purpose is personal data processed by AMNorman?

It is mainly used for purely practical purposes, including all kinds of administrative processes linked to invoicing, offers, etc. If you enter into contact with us using a form on the website, we need your personal data so that we can get back in touch with you.

Data can also be used for promotional or marketing purposes, such as telling you about new projects or sending you information of a general nature. What if you do not wish to receive any information from us? You only have to click “Unsubscribe” in the e-mail that you have received. You will then stop receiving newsletters. A limited record of your unsubscribe request may be retained to respect your choice. Necessary service messages are separate from this unsubscribe request.

If you apply for a job, you are personally responsible for the content of your CV and application letter that you will be asked to provide.

Does AMNorman also process special categories of personal data?

Special categories of personal data include, for example, health data and data revealing ethnic origin. Criminal conviction and offence data are subject to separate legal safeguards. Such data may be processed only where the applicable legal requirements permit it; sending us such information or asking us to process it is not in itself sufficient authorisation. Please do not include unnecessary sensitive information in forms or applications.

Who can access my personal data?

Access to personal data is limited to employees and authorised service providers who need it for their tasks. This may include hosting, technical maintenance and sending newsletters, as described further in this statement. Data is not shared freely: processing or disclosure requires an applicable legal basis. Consent is not the only possible legal basis in every case.

For questions about recipients or access to your data, contact info@amnorman.be.

How long will my data be stored?

Data linked to customers is kept for as long as necessary, so that administrative or accounting tasks can be completed. Data obtained using a form on this website is stored for as long as it is required for the relevant communication.

If you unsubscribe from the newsletters (for example, using MailChimp), e-mail addresses will be kept in limited form, so that statistical information can still be generated, such as the number of subscriptions over the years. No more e-mails will be sent to you automatically without your prior authorisation.

Data will be stored either internally, on secure computers, or on web servers at Combell (www.combell.be), with access being protected by Combell.

Can I see which data concerning me is processed by AMNorman?

You may request access to your personal data, correction of inaccurate data or erasure by contacting info@amnorman.be. Subject to the applicable conditions, you also have rights to restriction of processing, objection and data portability. Where processing is based on consent, you may withdraw it without affecting the lawfulness of earlier processing. Legal retention obligations may limit erasure.

Using external service providers may involve processing data outside the European Economic Area. Mailchimp states that data may be stored or processed in the United States. See Mailchimp’s information on international data transfers. Such transfers must comply with the applicable GDPR rules.

Who can I contact if I have a question or complaint?

For questions, requests or complaints about the processing of your personal data, contact info@amnorman.be. You also have the right to lodge a complaint with the Belgian Data Protection Authority.

In practical terms, what does AMNorman do with my data?

Depending on the service or form, AMNorman may request personal data in situations including the following:

  1. Requests for training information: your name, email address and telephone number are used to follow up your enquiry. If you request a paper brochure, your postal address is needed to send it. Your email address is added to the mailing list only with your consent. Interests may be requested to tailor the information you receive.
  2. Training registrations: company details are needed for invoicing, together with participants’ names, job titles, email addresses and telephone numbers. For individual registrations, participants’ names, addresses, email addresses and telephone numbers are used. The information is retained for the relevant course. If you register through a partner, please consult that partner’s privacy policy.
  3. Product orders: business invoicing details, including company name, legal form, invoicing address, email address, VAT number and telephone number, are used to complete the order. For private orders, your name, address, telephone number and email address are needed. The information is retained for the order.
  4. General contact forms: your name, email address and message are used to respond to your enquiry. Other details, such as telephone number, company, address or sector, may be provided voluntarily to help tailor our service. Data is retained for the necessary communication.
  5. Blog or newsletter subscriptions: your name, email address and interests are used to send relevant news. Company details may also be requested. These data are included in the Mailchimp database, from which you may unsubscribe at any time.
  6. Requests for support: your name, email address, telephone number and the reasons for your request are used to assess and follow up the request. Other information is optional and helps tailor our service. Data may form part of a project file and is retained for as long as necessary for the request.

To prevent misuse, your IP address and the time of submission are added to messages received through the website.

Opt-out and right to be forgotten

AMNorman may send you (automatic) messages, such as an acknowledgement following an enquiry or application, or an automatic reply if an employee is absent. It is not possible to unsubscribe from these service messages. AMNorman considers them essential for a good user experience.

If you would like us to delete all the data that we have about you, please send a request to info@amnorman.be. We will try to reply to your request as quickly as possible, while taking account of all the legal and accounting requirements.

For other messages, you have the option of unsubscribing by means of an OPT-OUT included in each e-mail. All automatic marketing messages will include an “Unsubscribe” link. If this is exceptionally not the case, you can always let us know at info@amnorman.be.
